Real estate bookkeeping
Four plans, priced on what you actually own.
Every plan is a fixed monthly fee, scoped by the number of entities and doors in your portfolio. No hourly billing, no invoices, and no line item that appears because a month was busy.
In every plan
The floor is the same for everyone.
Property-level reporting isn't a premium feature here. It's the reason the books are worth keeping, so it's in the $495 plan and every plan above it.
- Monthly transaction categorization and bank / credit card reconciliation, run continuously rather than batched at month-end
- Property-level profit & loss and a balance sheet per entity
- Monthly close and a standard financial package, delivered on a published business day
- Portal-based questions on anything we can't categorize, answered without a phone call
- Year-end package built for your tax preparer: financials, GL export, reconciliation PDFs, fixed-asset schedule, and a cover letter
- Autopay on the 1st, so you will never receive an invoice
The four plans
Pick the one your portfolio fits today.
Most investors start on Foundation or Portfolio and move up when they add an entity. Moving between plans takes one conversation and no re-onboarding.
One entity and a handful of doors. The starting position for a portfolio that has just outgrown the spreadsheet.
- Property-level P&L
- Modified-cash basis
Setup $750
Two entities and up to ten doors. Where most growing portfolios land, and where the second LLC stops costing extra.
- Everything in Foundation
- Depreciation schedules maintained
- Payroll coordination
- A/R and A/P visibility
Setup $1,250
Four entities and up to twenty doors, with written commentary each month and a call to go with it.
- Everything in Portfolio
- Class and location tracking
- Written monthly commentary
- 1099 season included
Setup $2,250
For portfolios actively acquiring, refinancing, or raising, where the question is no longer what happened, but what happens next.
- Everything in Portfolio Plus
- 13-week cash forecast
- Budget vs. actual and KPI pack
- DSCR and covenant tracking
- Lender and refinance packages
- Two ad hoc calls each quarter
Setup $4,250
Advisory work is capped at six hours a month so the scope stays predictable for both of us. If a month runs long, we agree the extra in advance. You will never find it on a bill afterwards.
Add-ons
What growth costs, and where the rate card stops.
Every add-on is priced up front and added to the same monthly debit. Nothing here is billed after the fact. Doors extend whichever plan you are on. Entities do not: a third set of books is a different close, not a bigger one, so a new entity moves you to the plan that covers it and entity add-ons begin above Portfolio Plus.
- Extra entity$235/moA fifth LLC, a new holding company, a partnership you just formed. These start above Portfolio Plus, which already covers four. Priced at the same rate as the plan it extends, so the fifth entity closes on the same day and gets the same commentary as the first.
- Extra 5 doors$185/moFor when the portfolio grows past your plan's door count but everything else still fits. Available on every plan.
- Above 8 entities or 40 doorsQuotedPast that the rate card stops being honest. The work stops scaling in straight lines, and one portfolio starts crowding out the room we keep for everyone else. Those are quoted individually, from the same diagnostic used for cleanup.
- Advisory module$450/moOne of the 13-week cash forecast, budget vs. actual, or the KPI pack, added to any monthly plan without moving to Advisory.
- Lender or refinance package$850A fixed-fee project: the statements, schedules, and coverage figures a lender asks for, assembled and tied out. Included at Advisory.
- 1099 season$40/vendor$350 minimum. W-9s are collected when a vendor is first set up, not in a panic in January. Included at Portfolio Plus and Advisory.
Getting started
The setup fee, and what it buys.
Charged once, at signing. It covers building your chart of accounts, validating opening balances against your last filed return, connecting every feed, seeding categorization rules from ninety days of history, and getting you into the portal.
- Foundation$750
- Portfolio$1,250
- Portfolio Plus$2,250
- Advisory$4,250
Setup is waived when you come to us through a partner CPA.
Behind on your books?
Catch-up is quoted, never guessed.
Being months or years behind is normal and it is fixable. What we won't do is quote it blind.
- Cleanup diagnostic$350We pull your prior general ledger, statements, and last return, then tell you exactly what's wrong: months behind per entity, unreconciled accounts, suspense balances, and where the file diverges from what was filed. Credited in full against the cleanup if you go ahead.
- Cleanup projectfrom $1,500A fixed fee, quoted from the diagnostic and agreed before any work starts. Never bundled into onboarding, and never open-ended.
What we don't do
And who we'd send you to instead.
Staying out of these is what lets us close every client's books on the same day every month. In most cases we already have someone good to point you at.
- Tax preparation and filingYour CPA or EA. If you don't have one, we'll introduce you. Our year-end package is built so they can file directly from it, which usually makes their bill smaller.
- Payroll processingGusto, in your name. We coordinate it, map the journal entries, and reconcile it, but the liability stays where it belongs.
- Paying your billsYour own BILL, Relay, or Ramp account. We prepare and track; you keep every dollar of release authority. We never hold or move your money.
- Sales tax returnsTaxJar or Avalara. Happy to make the introduction.
- Audits, reviews, and compilationsA licensed audit firm. What you get from us is management-use financial statements.
Questions
Before you book a call.
How much does bookkeeping cost for a rental property portfolio?
Plans start at $495 a month for a single entity with up to 4 doors, scaling to $895 for 2 entities, $1,695 for 3 or 4 entities, and a $4,250 Advisory tier for portfolios that need monthly CFO-level involvement. Pricing is based on entity count and door count, not a flat per-property rate, because entity structure drives most of the actual work.
Do you provide profit and loss statements broken out by property?
Yes. Every plan includes property-level P&L, not just entity-level financials, so you can see which doors are performing and which are dragging the portfolio.
How is real estate bookkeeping different from regular small business bookkeeping?
Real estate books have to handle capex vs. repair classification, owner draws vs. distributions, security deposit liabilities, depreciation schedules, and multi-entity allocation. Those are the categories generic bookkeepers routinely get wrong. We build the chart of accounts around Schedule E from day one.
Do you work with investors who have multiple LLCs?
Yes. Plans are structured by entity count: one entity on Foundation, two on Portfolio, three or four on Portfolio Plus. Past four, additional entities are $235 a month each. Above eight entities or forty doors we quote individually, because at that size the work stops scaling in straight lines. Each entity keeps clean, separate books that still roll up to a portfolio view.
My books are a mess or way behind. Can you help me catch up?
Yes. Cleanup starts with a $350 diagnostic, credited in full against the cleanup fee if you go ahead, followed by a fixed fee starting at $1,500 depending on how far behind things are. We quote it from the diagnostic, never blind.
Are you a CPA firm?
We are not a CPA firm and don't provide tax filing or attest services. We prepare clean, tax-ready books that your CPA can use directly.
What happens at tax time? Do you handle 1099s?
1099 season prep is available as an add-on at $40 per vendor, $350 minimum, covering vendor identification, W-9 collection, and filing prep for contractors paid above the IRS reporting threshold. That threshold is $2,000 for payments made in 2026, up from $600 in 2025, and is indexed annually from 2027. We collect W-9s when a vendor is first set up, not in a panic in January. 1099 season is included at Portfolio Plus and Advisory.
How often will I get reports and how fast do you close the books?
Close timing depends on plan. Foundation closes by business day 15 with an annual 30-minute review call, Portfolio by BD10 with a quarterly call, Portfolio Plus by BD7 with a monthly call, and Advisory by BD5 with a monthly call plus two ad hoc calls each quarter.
How do I get started?
Book a free discovery call through our Appointments page. We'll walk through your entities and portfolio, confirm the right plan, and get you a quote. No obligation.
How do you decide which plan I'm on?
Entities first, then doors. Your entity count sets the plan: one starts at Foundation, two at Portfolio, three or four at Portfolio Plus. You can always choose a larger plan for the earlier close or the extra reporting. What you can't do is bolt entities onto a smaller plan to reach a larger one's scope, because the close date and the review cadence are the thing you'd actually be buying. Transaction volume and connected accounts are the secondary check, and if you run consistently above your plan's count we'll raise it before it changes anything. If you're between two plans we'll tell you which one to start on, and it's usually the smaller one.
What happens when I buy another property?
Nothing, until you cross a published limit. Inside your plan's door count, an extra property costs nothing. Past it, doors are $185 for every five, on any plan. A new entity is the different case: it moves you to the plan that covers it rather than being added to the one you're on, and above Portfolio Plus additional entities are $235 a month each. We watch the limits so you don't have to, and we raise it as a conversation before it becomes a number.
Do you file my taxes?
No, and that's deliberate. Tax season is exactly when monthly close work gets abandoned, so we stay out of it entirely. What you get instead is a year-end package your preparer can file straight from: financials, GL export, reconciliation PDFs, a fixed-asset schedule, an open-items memo, and a cover letter written for them. If you need a preparer, we work alongside several.
Do I have to use QuickBooks Online?
Yes. Running one general ledger platform properly is what makes the close dates on this page possible. Two platforms means two sets of templates, rules, and integrations, and both get worse. If you're on Xero or a spreadsheet today, migration is part of onboarding and we'll quote it honestly.
Can I just call you?
For scheduled calls, absolutely. Every plan includes them, and Advisory clients get two extra each quarter on top. Day to day we work through the portal and answer within one business day. It isn't that we're hard to reach; it's that a bookkeeper who takes every call as it comes is a bookkeeper whose closes slip.
Does the price go up?
By 4–6% at each annual renewal, written into the engagement letter from day one so it's never a surprise. Beyond that, the only thing that changes your fee is your portfolio crossing a limit, and you'll agree to that before it takes effect.
How does the AI part work?
Software drafts, a person decides. Rules and deterministic logic run first; automation proposes categorizations with a confidence score and a rationale; a human clears that queue every week. Nothing posts to your general ledger above a materiality threshold, and nothing reaches you containing numbers or scope, without being reviewed. Every number in a report you receive is computed by script before anyone writes a sentence about it.
Is my financial data secure?
[Be concrete about what you actually do: per-client password vaults, hardware-key two-factor everywhere, view-only bank access with no transfer authority, an encrypted client portal rather than email attachments, and client data processed only under commercial API terms, never consumer chat tools.] Specifics reassure; "we take security seriously" does not.
